Breaking up tasks

Time has been set aside, and a commitment made to the business. Now what? One of the best things we can do is decide how to use our time efficiently. There are likely several tasks that are similar if not repetitive—for example, creating content for social media, a blog, a podcast, a course, or a book. It may also include answering emails, making phone calls, or holding meetings with vendors or staff.

Instead of jumping from task to task, try scheduling similar jobs together. When we switch tasks, we have to reset our minds to meet the job we are tackling, which slows us down. But when we group similar tasks, our focus doesn’t need that time to readjust, allowing us to remain focused and accomplish more with our time.

When grouping tasks, we need to think ahead. Consider planning a month, two months or even three months in advance. Identify the jobs that need completing and consider which can be done in advance and which may need to be addressed weekly. Some jobs, such as email, phone calls, and meetings, are repeated weekly. Others, such as social media content, blog posts, podcast episodes, or course scripts, may be completed monthly, bi-monthly, or even quarterly.

Action steps:

  1. Identify all the tasks in your business.
  2. Identify similar tasks and how often they are created (i.e., email, social posts, writing for book, podcast, or course).
  3. Identify tasks that may be grouped and handled monthly, bi-monthly, or quarterly.
  4. Identify tasks that need to be done weekly.
  5. Schedule specific time for each group of tasks.
